The real (hidden) consequences of your dysfunctional productivity habits.

You might be thinking…so what if I misplace some documents or lose an hour here and there retrieving my stuff? Nobody’s perfect, right? 🤷

It’s easy to explain away the symptoms of poor productivity habits because, well… Hey, everybody’s busy. Things will inevitably fall through the cracks. 

This is treacherous territory. 

A leaky productivity system has symptoms — signs that indicate you’ve got a problem. Missed deadlines. Wasted time. Frustration. Overwhelm.

And here’s the thing. Beneath these symptoms is a deeper, more sinister consequence slowly eroding one of your most valuable assets… 

 

Your trust in yourself. 

 

Every time something slips through the cracks or you experience negative emotions from falling behind, your inner critic scores a point and your self-confidence shrinks. 

Over time, this can be a soul-crushing weight to bear.

David Allen calls this phenomenon breaking agreements with yourself.  

Let me explain. All the symptoms of your less-than-desirable productivity habits — things like feeling stressed, anxious, and guilty — aren’t a result of having too much to do or too little time. They’re the unintended consequences of breaking agreements with yourself.

3 reasons your current productivity
system is failing you

This is why you haven’t successfully implemented GTD…yet.

My students often ask me if the GTD promised land is a mirage. They believe in the theory of GTD but have struggled to put it into practice. Not because the GTD methodology doesn’t work (it absolutely does!) but because they’ve fallen into one (or more) of the following productivity traps…

 
 

❌ Productivity Trap #1 ❌
Believing your GTD system will fall into place with the “right” app.

How many hours have you squandered tinkering with new productivity apps, hoping to finally get your GTD practice humming along? If you’re like many people, your answer could be well into the hundreds of hours. Maybe more.

This app-shifting habit comes with some heavy price tags. Time. Energy. Focus. Every time you go down another “holy grail” GTD-app rabbit hole, you set aside the things that really matter in your life.   

The more you “dabble” in search of The One Perfect Tool, the more time you waste and the more chaos you create in your productivity system. 

Here’s the truth:  

There is no perfect tool for GTD. 

But there is one that I recommend.

If you’ve been following along, you know it’s Evernote.

The key to success with GTD is to embrace this truth and then CHOOSE YOUR PRIMARY GTD TOOL and stick with it. 

A little later, I’ll share why my preferred tool — Evernote, works so well for GTD. But for now, here’s my best productivity advice…

Don’t rely on a patchwork of different apps to keep your system running smoothly. Instead, stop searching for the holy grail of GTD apps and pick one proven app to be the center of your GTD universe.

 
 

❌ Productivity Trap #2 ❌
Your DIY mentality is sabotaging your success.

I’m all in for DIY — when it makes sense. Sure, I can exercise at home alone, reading books and blogs, and finding my own YouTube videos, but if you’ve ever worked up a sweat in a group class, you know that you do more — better with the right tools and strategies.

With the right experts guiding me, I do exercises that are best for my body and I know for sure I’m using proper form. They’ll even guide me toward the right foods.

Since I don’t have a degree in nutrition or exercise, to figure it all out on my own would be an absurd investment of my mental resources, energy, and time. Worse, I could do more damage than good.

Many aspiring GTD lifestylers end up piddling away their potential with years of lost productivity because they get trapped in the DIY alone mentality. They believe all they need to master GTD is David Allen’s book, a mish-mash of YouTube videos, and a dozen random blogs. 

But sadly, this approach backfires for even the most diligent DIYer.

I know you have good intentions of getting your GTD practice running smoothly, but let’s be honest: 

  • Are you able to grab what you need within seconds? 

  • Do you finish what you start?

  • Are you doing your weekly reviews? 

  • Can you confidently proclaim that your productivity system is reliable and easy to maintain? 

  • Do you actually practice GTD principles consistently

If your answer is “no” to any of those questions and you’re spinning your wheels trying to figure it out on your own, it’s probably time for you to try something new.

Stop fiddling around with improvised GTD approaches. Get your life back. Go walk your dog. Take a vacation. Sleep well.

❌ Productivity Trap #3 ❌
You’re missing the essential productivity habits required for GTD success.

You, not your state-of-the-art GTD gym, are in control. 

And if you don’t lace up your sneakers consistently to throw those medicine balls and bench press that bar, that body of yours stays the same (or gets squishier). Your pants get snug. You need a 2:00 p.m. nap. You crave chocolate croissants instead of reaching for the bowl of clementines. You get the idea.

GTD needs to flex its muscles every day. That’s where the power comes from. 

When people fall into this trap, it’s simply because their productivity habits aren’t up to snuff. 

And, contrary to popular belief, this is actually easy to fix with the right solution.

It’s not complicated. And the beauty of this framework is that when you accomplish three things, in this order, you will never go back to a sloppy productivity practice ever again.

 


There’s a simple 3-step process to achieve GTD success:

  1. Embrace the GTD Methodology. 

  2. Master your tool.

1. Embrace the GTD methodology

Embracing the GTD methodology is the crucial first step to productivity bliss. Once you discover the power of GTD, you’ll wish you could rewind time and get all those years of lost productivity back. 

But remember, as strong as GTD is on its own, it’s tool-agnostic. David Allen never wanted to prescribe a particular tool, bringing us to the second step on the productivity success path…

2. Master your tool

Step 2 is to simply become fluent in your primary GTD tools. There are hundreds (maybe thousands) of productivity tools out there. And of course, you can use any tool you like, but if you want the fastest, easiest path to the GTD lifestyle, let me give you some advice. 

For me and thousands of others, the best primary tool for your rock-solid GTD system is Evernote. (Of course, it’s not perfect, but pretty darn close.) Let’s unpack the 3 main reasons Evernote is my recommendation:

Evernote was specifically designed to be our “second brain.”
In fact, their tagline, Remember Everything and Accomplish Anything is very much in sync with the GTD philosophy.  

Our brain isn’t a database. The first step to GTD freedom is understanding that we simply cannot store everything in our heads. And not only that we can’t, but we shouldn’t even try!   

As David Allen teaches:

Evernote is flexible. 
So is GTD. The power of GTD lies in the fact that it’s infinitely customizable to you and your needs. It’s a framework, not a doctrine. This means that to reap the rewards, your primary GTD tool will need personalization. 

  • It needs to work on all major devices, regardless of their operating system, off-line and in the cloud. 

  • It needs to manage all kinds of digital assets like Word Docs, emails, websites, Google Docs, Pages files, YouTube videos, photos, and even text messages. 

  • It needs to be able to organize data any way you like. Nobody likes being stuffed into a one-size-fits-all digital data box.  

Does Evernote meet these requirements? Check. Check. And check.

Evernote is ONE tool (vs. many). 
Your goal is to create a trusted system outside your brain. To do that, you have a choice: build it with one app, or bungee cord a handful of disparate apps together and hope for the best. If you’re looking to build the most efficient and reliable system, there’s really only one right choice.

Choose one tool: Evernote.

  • The more tools you have, the more complicated your system. The more complicated your system, the more likely it is to break down.
